1. Who is responsible for your data

Sai Courier and Cargo (proprietor Satish Deokisan Mundada, GSTIN 27ABTPM0273F2ZG) operates Pincode Express and is the data fiduciary for personal data processed on this platform, under the Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000 and its rules. 2. Data we collect

• Account and business data: name, business name, email, mobile number, password (stored only as a secure hash), GSTIN, PAN, billing and pickup addresses.
• KYC documents: PAN card, address proof, cancelled cheque / bank proof, GST and business registration documents you upload.
• Bank details: account holder, bank, IFSC and account number (stored encrypted) for COD payouts.
• Shipment data: your customers’ names, phone numbers, emails and delivery addresses, parcel contents, weights and values you enter or import from your stores.
• Payment and wallet data: recharges, payment references (UTR), deductions, refunds, invoices and receipts. We do not store card numbers; online payments are handled by our payment partners.
• Technical data: log-in records, IP address, browser/device information, and cookies needed to keep you logged in.

3. Why we use it

• To create and secure your account and verify your identity (KYC).
• To book, label, track and deliver shipments, and to send tracking updates to your customers.
• To run your wallet, issue invoices and receipts, and remit COD.
• To provide support, resolve claims and prevent fraud and misuse.
• To meet legal, tax and regulatory obligations.

4. Who we share it with

• Courier partners (e.g. Delhivery, Xpressbees, Ekart): sender and receiver details needed to pick up and deliver your parcels.
• Payment and banking partners: to process recharges and COD payouts.
• Your connected stores and apps (Shopify, WooCommerce, etc.), when you connect them, to import orders and send back tracking.
• Service providers who host our servers and send messages, under confidentiality obligations.
• Authorities when required by law, court order or for investigating fraud or illegal shipments.

5. Your customers’ data

When you enter or import your customers’ details, you confirm you have the right to share them with us for delivering their orders. We use that data only to fulfil and track those shipments and as required by law.

6. Storage and security

Data is stored on secured servers in India. We use HTTPS encryption, hashed passwords, encrypted bank account numbers, access controls, and private storage for KYC documents that only you and our authorised staff can open. No system is perfectly secure; tell us immediately if you suspect unauthorised access to your account.

7. How long we keep it

We keep account, shipment, invoice and payment records for as long as your account is active and for at least 8 years afterwards where tax and accounting laws require it. KYC documents are kept while your account is active and for the period the law requires after closure. Other data is deleted or anonymised when no longer needed.

8. Your rights

You can access and correct your data from your dashboard, and ask us to explain how it is used, to update it, or to erase data we no longer need to keep, by writing to our Grievance Officer (see Grievance Redressal). You may withdraw consent for optional uses at any time; this does not affect processing needed to complete shipments already booked or to comply with law.

9. Cookies

We use essential cookies to keep you signed in, remember preferences (such as your Domestic/B2B/International view) and protect against misuse. We do not sell your data or use it for third-party advertising.
